Equipment Requirements
All audio equipment required for your event must be supplied by the client or venue. This includes items such as the PA system, mixing console/desk, stage monitors, microphones, DI boxes, cables, microphone/instrument stands, and any other equipment necessary for the performance.
If you require any small equipment such as a mixer, microphones, stands, DI boxes, or cables, please let me know at least 7 business days before your event. This allows enough time to source the appropriate equipment and provide an updated quote if required.
PLEASE NOTE – REQUESTS MADE WITH LESS THAN 7 BUSINESS DAYS’ NOTICE MAY NOT BE ACCOMMODATED.
Booking Deposit
A 30% non-refundable deposit is required to secure your booking. Your booking will not be confirmed until the deposit has been paid.
The remaining balance is due either before the event or on the day of the event, unless otherwise agreed in writing. This deposit ensures your booking is reserved exclusively for your event and covers the preparation required prior to the event.
Cancellation and Rescheduling
If you need to cancel or reschedule your booking, please provide as much notice as possible.
- Deposits are non-refundable in the event of a cancellation.
- Where possible, bookings may be rescheduled to a new date if enough time has been provided and the requested date is available.
Event Information
To ensure your event runs smoothly, you are required to provide the following information before the event:
- Event date and venue location
- Soundcheck time/s
- Performance start and finish time
- Number of performers
- Stage plot and input list (if available)
- Venue and event organiser contact details
- Any special technical requirements and/or important notes
Supplying this information in advance helps with preparation and avoids delays on the day.
Access and Setup
Please ensure the venue provides safe and reasonable access to the performance area and audio equipment.
Adequate time should be allocated for setup, soundcheck, and pack down. (Setup and pack down will not apply if equipment has been supplied by someone else). Delays caused by restricted venue access or schedule changes may impact the event and could result in additional charges if they significantly extend the agreed booking time.
Additional Hours/Overtime
If the event runs longer than the agreed booking time, additional engineering charges may be applied depending on scheduling and late hours of the day.
Any extra hours requested on the day will be charged at the agreed hourly rate and are subject to availability at the time.
Client Responsibilities
To help deliver the best possible audio experience, clients are responsible for the following:
- Providing accurate event information prior to the event (preferably when making the booking)
- Ensuring performers arrive on time for soundcheck
- Ensuring all venue power and supplied equipment are safe and operational
- Advising me of any schedule change as soon as possible
Weather (Outdoor Events)
For outdoor events, suitable protection must be provided for all audio equipment and personnel in the event of rain, excessive heat, and/or strong winds.
For safety reasons, equipment cannot be operated in unsafe weather conditions.
Travel
Travelling within the agreed service area is included in the quoted price unless otherwise stated.
Events located outside the standard service area may incur additional travel or accommodation costs, which will be discussed and agreed upon before confirming the booking.
